Outbound Specialist
PolyPeptide S.A. is looking for a highly organized and proactive
Outbound Specialist
to manage and coordinate all outbound shipments of materials to external partners.
The Outbound Specialist is the single point of contact for the organization and preparation of those shipments. He receives requests from Program Managers (or customer), organizes documentation and associated transport and prepares the materials in due time and with respect to safety and quality standards.
He/she has strong knowledge in transports and regulatory (customs, export and import permits, HS codes, etc.)
Key Responsibilities
Team Management and organization
Organize (with the warehouse) the availability of materials in due time
Pilot the management and the preparation related to the outbounds activities
Communicate, cascade and escalade any information / issues in the scope of his/her function
Be the backup of the Logistics Manage
Be polyvalent in warehousing activities (Cycle counts & storage / inventory, Inbounds, etc.)
Be part of the recurrent meetings (tiers, 1/1, etc.) allowing reaching the objectives as a team / department as well as on an individual way
Deploy the culture of the company and ensure its understanding and application (empowerment, solidarity, team spirit, human values, etc.)
Be able to share reporting to his hierarchy on a regular basis
Outbound activities
Manage the transport (internally and externally) with respect to the budget defined for those activities, in due time and with respect to safety and quality standards
Coordination, organization and supervision of the shipping process of commercial products according to PolyPeptide procedures and customer guidelines in collaboration with the Warehouse team
Coordination with Product / Project Managers for the organization of shipments
Responsible for the transport documentation and the execution of the shipping tasks
Management of various transport documents, customs, certificates of analysis and others
Ensure the operations of transport booking, organization of pickup and follow the shipments organized outside the company (legal procedures, customs, permits, etc.)
Rethink and optimize outbound process
Set up and maintain standard templates of shipping qualification test protocols and test reports (URS, OQ, PQ) in accordance with the relevant regulations
Take part to the definition of objectives in terms of effective inventory management (identification, segregation, location, etc.)
Risk management and risk assessment
Drive continuous improvements
Propose improvements at the human level as well as technical and organizational level (examples: harmonizing and optimizing procedures; studying the storage, accessibility, and circulation of the products, flows)
Ensure the respect of EHS’s standards, by analyzing risky situations, by improving workstation ergonomics programs and by proposing ideas in the mindset of continuous improvement
Apply the Lean approach, as part of the continuous improvement
Partnership with all the departments
Coordinate the interactions with the other platforms
Promote the Supply Chain and their principles to the other platforms
Make recommendations / advice
Profile & Qualifications
Education & Experience
Bachelor's degree required; Master’s degree is a plus.
Minimum 5 years of experience in a similar role within a GMP environment.
Strong understanding of Supply Chain flows and pharmaceutical industry requirements.
Proficiency with ERP systems (SAP experience is an asset).
Fluent in French with a good level in English.
Technical Skills
Strong knowledge of transport operations, customs regulations, import/export permits, and HS codes.
Experience with ADR, IATA as well as regulatory (customs)
Familiarity with Lean Management (5S, Kaizen, Kanban, ..).
Solid understanding of EHS and quality standards.
